Terms and Conditions

At the Himalayan Dream Team, fairness and transparency are basic cornerstones towards a commitment of superior travel experiences. Please go through the terms and conditions carefully herein; these provide the guiding framework for mutual understanding and help in the avoidance of misunderstandings while you participate in our programs. Please do not hesitate to contact us at any time should you have any questions or need further clarification on any of the above-mentioned matters.

Following are the terms and conditions that govern the relationship between you, the client, and Himalayan Dream Team (P) Limited, a company registered with the Nepalese government under registration number 601874246 (henceforth known as "the travel agency"). By ordering our services, you are deemed to have agreed to this agreement, the terms, cancellation conditions, and limited liability herein. Both parties accept the below mentioned provisions and approaches to resolve any legal dispute that may arise in the course of, or subsequent to, your journey with us, in a fair and cooperative way.

1. BOOKING A TRIP:

A "Trip" refers to any trekking, tour, expedition, peak climbing, helicopter tour, adventure activity, transportation service, or travel package offered by Himalayan Dream Team through our website, brochures, email correspondence, or other promotional materials.
A booking is considered confirmed only after Himalayan Dream Team has received the required deposit and issued a written booking confirmation or invoice by email.
Upon confirmation of the booking, a contract is deemed to exist between the Client and Himalayan Dream Team, and both parties agree to be bound by these Terms and Conditions.
Prior to confirmation of a booking, Himalayan Dream Team reserves the right to amend trip prices, itineraries, or trip details due to currency fluctuations, government regulations, changes in transportation costs, permit fees, taxes, or other circumstances beyond our reasonable control.
Once a booking has been confirmed and the required deposit has been received, the agreed trip price will remain unchanged except in cases where additional charges are imposed by government authorities, airlines, permit offices, or other third-party service providers.

2. Deposit and Payment:

To confirm your booking, a non-refundable deposit of 25% of the total trip cost is required at the time of reservation.
The remaining balance must be paid at least 6 weeks (42 days) before the trip departure date, unless otherwise agreed in writing by Himalayan Dream Team.
For bookings made within 6 weeks of departure, full payment is required at the time of booking.

Payments can be made by:

  • Bank transfer
  • Online payment
  • Cash upon arrival in Nepal (only if agreed in advance)

Any bank charges, transfer fees, credit card fees, online payment fees, or currency conversion costs are the responsibility of the client.

3. Final Payment and Client Details:

The client is responsible for providing accurate personal information, including passport details, contact information, flight details, and any other information required for permits, domestic flights, accommodations, or travel arrangements.
Any errors in information supplied by the client that result in additional costs, delays, permit issues, or flight changes shall be the responsibility of the client.
Failure to make the final payment within the required timeframe may result in cancellation of the booking and the application of cancellation charges.

4. CANCELLATION BY THE CLIENT:

Any cancellation by a client must be made in writing. The date on which the cancellation takes place determines which cancellation costs apply.

  • The cancellation costs are expressed below as a percentage of the total travel sum.
  • Cancellation 30 days or more before departure: loss of the deposit.
  • Cancellation 29-21 days before departure: 50% of the total travel sum.
  • Cancellation less than 14 days before departure: 100% of the total travel sum.
  • The client is strongly advised to take out cancellation insurance at the time of making the booking.

Please note that no refund will be given if you do not use the offered and agreed travel (parts) for no reason.  No refund will be given for already booked accommodations, transportation, sightseeing, meals or other services.

5. CANCELLATION OF A TRIP BY THE TRAVEL AGENCY:

The travel agency reserves the right to order any trip, including a guaranteed trip, before departure for reasons beyond its control (i.e. due to natural disasters, cancellation of a flight, consequences of, strikes, wars, riots, illness, quarantine, government interventions, weather conditions or other undesirable events). In such a case, Himalayan Dream Team will proceed to a maximum refund of the travel sum minus already made costs for reserved flights, hotels and so on. If for other reasons we are forced to change a trip (part) (part of it), you are entitled to a similar alternative of the same value.

Please also note that these changes do not include refunds in the event of a change of airline, flight times. Travel will take place provided that the departure and arrival dates remain unchanged. We will strive to allow the trip to take place at the agreed price in the event of changes, provided that the change of routes, hotel accommodations etc. does not entail any cost increases. In the latter case, the additional costs will be charged to the client.
The travel agency is not responsible for any additional costs or consequences of damage on the part of the client and arising as a result of the booking, such as visas, vaccinations, non-refundable flights, or other costs, loss of income or other inconveniences, etc.

6. MEDICAL CONDITION AND SPECIAL SUPPLIES:

The travel agency must be informed in writing, before the time of booking, of any medical condition, disability or any other mental and/or physical condition that may affect fitness to travel. On the basis of that information, the travel agency may refuse the client a trip.  Failure to report such a condition to the travel agency in time will result in cancellation with a 100% cancellation fee to the travel agency.

Some trips may be unsuitable for clients due to age, mobility, pregnancy, physical or mental conditions or the lack of the necessary (described) experience in case of adventure or climbing tours. It is the client’s responsibility to check this prior to booking. The travel agency is not obliged to provide adapted, special facilities unless it has agreed to a written request. The travel agency will do its best to comply with special requests including dietary requirements, but such requests are not part of the contract and the travel agency is not liable for any consequences of the condition for the travel (parts).

7. TRAVEL INSURANCE:

Adequate and valid travel insurance is mandatory for all travellers. Your travel insurance must cover accidents, injuries, illness, death & all medical expenses, including any pre-existing medical conditions, repatriation from the mountains (including helicopter rescue and ambulance if applicable) and personal liability. The travel agency also recommends cancellation insurance and insurance for containment and loss of luggage and personal belongings. You must carry and show proof of insurance if reasonably requested by the travel agency. The travel agency reserves the right to cancel or suspend your participation on a trip or certain activities, even after the start of your trip, without the right to a refund, if you are unable to prove that you have necessary insurance.

8. FLIGHT DELAYS AND ADJUSTMENTS TO TRAVEL PROGRAM:

Please note: the Himalayas are always unpredictable. Bad weather in mountain areas can lead to delays on domestic flights. In case of delay of domestic flights, the travel agency will arrange accommodation but will not reimburse these additional costs. In the event of delayed international flights, the client is responsible for all additional costs including accommodation. If you want an alternative arrangement, such as urgent transport by helicopter, in connection with your timely connection for the international return flight, all additional costs are for your account. Included in all our programs in an extra day in Kathmandu to compensate for such delays with a maximum of 1 full day.

In addition, the travel agency bears no responsibility for costs due to missed international flights, but will help to book alternative flights, accommodations, etc. where possible. Please also note that, during trekking and tours, changes in the itinerary and/or travel components may occur due to unforeseen circumstances.

9. TRAVEL ADJUSTMENTS:

If the client wishes to change travel components after the booking, the client may be responsible for the additional costs resulting from this.

10. VISA & PASSPORT:

When planning your trip to Nepal, please ensure that your passport has at least 6 months of validity from the date of entry and contains at least one blank page. It’s a good idea to check this as soon as you book your trek to avoid any last-minute issues.

Upon arrival in Nepal, the following visa fees apply and can be paid in cash (preferably in a major currency like US Dollars). While some visa desks may accept credit cards, it’s safer to have cash ready:

- US $30 for 15 days

- US $50 for 30 days

- US $125 for 90 days

To make the process smoother, we recommend completing your visa application online before your arrival. Visit the Nepal Immigration Website to fill out the online form. Once submitted, you’ll receive a submission receipt with a barcode. Please print this receipt and bring it with you to acquire your visa at the airport.

A few key points to remember about the online form:

  • The submission receipt is valid for 15 days from the date of submission.
  • If it expires before your arrival, you will need to fill out the form again.

11. INJURIES AND EVACUATION:

The travel agency is not liable for injury/conditions/emotional or other injuries of the client during the trip. Our trips do not include personal insurance. That is why we advise clients to provide an adequate insurance package, including coverage for medical emergencies and evacuation by helicopter. In Nepal, such insurances are not available.

12. MISSED/UNUSED TRAVEL PARTS:

There are no discounts or refunds for missed or unused services, not for voluntary and not for involuntary termination of a trip (part) due to illness, death of a family member etc, late arrival on the tour. However, we will assist you in case of emergency and arrange everything in good mutual consultation. We will always strive to offer you alternative travel (parts) if desired.

13. ADJUSTMENTS TO GENERAL TERMS AND CONDITIONS:

The travel agency reserves the right to update these terms and conditions and change them at any time. It is the client’s responsibility to know the terms and conditions with any changes. The most up-to-date version of the general terms and conditions will always be found on the website.
